Importing Posts from CSV Files

If you're moving to Content Rabbit from another tool or have posts saved in a spreadsheet, you can import them using CSV files.

What's a CSV import?

CSV (Comma-Separated Values) files are basically spreadsheets saved as plain text. Each row is a post, and each column contains information like the post text, scheduled time, or platform.

You might want to import a CSV if you:

  • Have posts in a spreadsheet you want to bring into Content Rabbit
  • Are migrating from tools like Hootsuite, Buffer, Sprout Social, or Later
  • Got a data export from another platform

Using the Migration Assistant

The Migration Assistant walks you through importing posts step by step. Here's how it works:

1. Upload your CSV file

Go to Settings → Import / Export and click "Start Migration Assistant."

Click "Choose File" and select your CSV. We'll show you a preview of the first few rows so you can check everything looks right.

2. Map your fields

This is where you tell us which columns in your CSV match which fields in Content Rabbit.

For example, if your CSV has a column called "Tweet Text," you'd map that to our "Content" field. If you have a "Publish Time" column, map it to "Scheduled Date/Time."

We auto-detect common formats. If you're importing from Hootsuite, Buffer, Sprout Social, or Later, we recognize their column names automatically. You can still adjust the mappings if needed.

3. Map users (optional)

If your CSV has an "Author" or "Creator" column, you can assign those posts to specific team members. This is helpful when importing team content.

If you skip this, all imported posts will be assigned to you.

4. Review and confirm

Check the preview one more time. Select which posts you want to import (you can uncheck any you don't want), then click "Start Import."

We'll process everything in the background and email you when it's done.

Supported platforms

We recognize CSV exports from:

Hootsuite - Exports include columns like Message, Scheduled Time, Profile(s), and Status. Learn about Hootsuite's CSV format

Buffer - Exports include Text, Profile Name, Scheduled At, and images. Learn about Buffer's bulk scheduling

Sprout Social - Uses Message Text, Send Time, and Profile columns.

Later - Includes Caption, Publish Date, and Media URLs.

Don't see your platform? You can still import by manually mapping the fields in step 2.

Troubleshooting

"Invalid CSV format" Your file might have formatting issues. Try opening it in Google Sheets or Excel, then re-save it as CSV.

"No posts found" Check that your CSV has a header row (column names) and at least one data row below it.

Some posts didn't import Check your email for the import report. It lists any posts that failed and why. Common issues:

  • Missing required fields (we need at least content or a title)
  • Invalid date formats
  • Special characters that weren't escaped properly

Field mapping looks wrong Our auto-detection works best with standard column names. If your CSV uses unusual names, you can manually map them in step 2.

Import is taking a long time Large imports run in the background. You'll get an email when it's done. For files with 1,000+ posts, this can take 10-15 minutes.

Tips

  • Test with a small CSV first (5-10 posts) to make sure the mapping works
  • Make sure dates are in a standard format like "2025-01-20 14:30" or "01/20/2025 2:30 PM"
  • If you have media URLs in your CSV, put them in a "Media URL" or "Image" column
  • Tags work best as a comma-separated list: "marketing, social media, launch"
