Overview
Share a workspace so a teammate can review and approve content before it goes live. The owner controls who can see and edit the workspace, and you can request approval per post.
Sharing a workspace with a teammate
A workspace holds your social accounts and posts. Sharing it gives a teammate access to the same drafts, calendar, and schedule.
- Go to Settings → Workspaces
- Open the workspace you want to share
- Open Sharing or Share
- Pick a teammate's team or workspace to share with and choose a role
- Confirm
Roles:
- Read — view drafts and the calendar
- Write — create and edit drafts
- Publish — schedule and publish
- Admin — manage the workspace itself (rename, accounts, defaults, schedule, and shares)
Only the workspace owner can add members. You can change the role or remove access from the same sharing view.
After sharing, the teammate sees the workspace in their workspace switcher and can open its posts.
Requesting approval on a post
When a post needs review before publishing:
- Open the post
- Request approval and pick the reviewer. The reviewer must be a member of the same workspace.
- Add a due date or comment if needed
- Submit
The post moves to Pending approval while any blocking approval is still pending. You can still edit the draft, but scheduling is held until approval is granted.
To list existing requests, open the post and view its approvals. Each request shows the requester, the reviewer, whether it blocks publishing, its due date, and its current status.
Approving or rejecting
If you are the reviewer:
- Open the post that requested your review
- Choose Approve or Reject
When all blocking approvals are approved, the post returns to Draft or Approved and can be scheduled or published as usual. A rejection leaves the post with the reviewer's feedback — edit and request approval again if needed.
Only the assigned reviewer can approve or reject their own request.
Tips
- Share the workspace before requesting approval — the reviewer must already have access.
- Use Read for reviewers who only need to approve, Write or Publish for collaborators who also edit.
- Keep team membership up to date. If a reviewer leaves the team, assign a new reviewer.
